My agency sends 1,000+ emails per month for our clients.
Every email we send has to pass a checklist to ensure it performs well.
Here's the 9-item checklist we use to create high-converting emails:

1. Perfect the subject line:
A good subject line is the first impression & is crucial for getting your email opened.
Make sure your subject line:
1) Catches people's attention
2) Appeals to their interests
3) Invites them to open your email
And watch your open rate go up 📈
2. Leverage the preview text:
Give people another reason to open your email.
You can:
- Expand on your subject line's idea
- Offer a sneak peek of the content
- Include a CTA to open the email
It's a second chance to ensure your email gets opened, so make the most of it.
3. Proofread the content:
Find and fix any:
- Spelling mistakes
- Punctuation issues
- Grammatical errors
A single error can ruin your entire email; don't let it happen.

Here's my process for proofreading emails:
1. Take a Break
2. Read Aloud
3. Check for Clarity
4. Review Subject Line
5. Use Spellcheck & Grammar Checkers
6. Look for Homophones
7. Double-Check Names
8. Verify Dates & Numbers
9. Review on Different Devices
10. Get a 2nd Opinion
4. Double-check the recipient list:
This one is straightforward.
Ensure you're sending your email to the right segment of your list.
Who you email is as important as what you send.
Note: You must also remember to add the exclusion list to the campaign. Don't forget this!
5. Test your links and CTA's:
Go through your email and click every:
- Link
- Button
- Call-to-action
See if they work the way they're supposed to.
Flawless interactions -> more clicks.
6. Make it mobile-friendly:
Implement these in your email:
- Responsive layout
- Readable font
- Large enough text
- Easily clickable CTAs
- Image optimization
Most opens will come from mobile devices.
Neglecting these must-haves means you'll be leaving money on the table.
7. Optimize for all email clients and devices:
Ensure your email displays correctly in:
- Gmail
- Outlook
- Apple Mail
And all the other major email clients and devices.
The more clients you cover, the more people you'll reach.
8. Nail the timing:
Ensure your email is sent:
1) On the right day of the week (or weekend)
2) At the right time of the day
Based on your audience's preferences.
This requires lots of time-based testing.
But it is massively underrated.
A good email + perfect timing = $$$.
9. Send one last test email:
Finally, send a test email to yourself and your team.
Review it thoroughly and address any last-minute issues.
Once everything looks good, send the email to your list/segment.
